Serving Alcoholic Beverages at UCI Sponsored Events
Are you planning an event where alcoholic beverages will be served? Below are some steps to hosting a safe and legal event.
All UCI Sponsored Events that include the service of alcoholic beverages must be in compliance with UCI Alcohol Policy, Section 900-13 and California State Law.
I am hosting an event with alcohol service. How do I request for alcohol service approval?
1. Submit a UCI Alcohol Request Form (at least 20 business days in advance) to UCI Dining by email to food@uci.edu. If you are unsure if a UCI Alcohol Request form is required for your event, please email UCI Dining or review the UCI Alcohol Request form flow chart.
Your completed alcohol request form should include the following:
- Please provide all your event details by filling out and completing all sections of the request form.
- The Primary Event Representative, Event Location Approver, & Approving Authority signatures must be included. UCI Dining will be the final signature on the request form.
- By policy, all outdoor events on University premises will need to barricade/enclose the area where the alcohol service will take place. When submitting your request form, please also include a detailed diagram of the location where alcohol will be served that shows:
- Layout of alcohol service area
- Barricade parameters
- Clearly marked entrance and exit pathways. The department or organization is also responsible for posting signs stating “no alcohol beyond this point” at all exits.
- If you are hiring a bartender for your event, please include the name of the bartending company on your request form. If you have a question or would like the contact information for an approved bartending service, please email UCI Dining at food@uci.edu.
2. Dining will review the Alcohol Request Form and will contact you if additional adjustments are needed on the form or if there are any documents (such as ABC license or a bartending certificate) will need to be submitted.
- If there will be a sale of alcohol or consideration, an ABC One Day license will be required. Please contact UCI Dining Services to assist with this process. This process must be started at least three weeks prior to the event date.
3. Once all the adjustments and documents have been submitted and the request form can be approved, UCI Dining will confirm and send you an email with the finalized signed copy of your Alcohol Request Form. Your event is now approved for alcohol service. This request form can be saved and later used as back documentation when submitting for KFS reimbursement.
If any major event details (such as event date, location, attendee numbers, Primary Event Representative, etc.) change prior to the event and after the request form has been finalized, please inform UCI Dining at food@uci.edu.
